Short answer: Lock the facts before asking AI to improve the wording. Keep dates, quantities, commitments and uncertainty in a separate checklist, then compare the revision against it. This is especially useful for client messages where a smoother sentence can accidentally become a stronger promise.

A concrete example
Original: 'We may deliver 20 samples by 12 June if the fabric arrives on time.' A safe revision keeps 'may', 20 samples, 12 June and the fabric condition. 'We will deliver your order by 12 June' changes both the certainty and what is being delivered.
This is a suggested exercise, not a recorded product test. It describes the result to aim for; it does not claim that every listed tool can complete every step.
Prepare these inputs
Collect the original paragraph, intended reader, desired tone and words that must stay unchanged. Mark product names and figures. If a sentence is ambiguous, resolve the meaning yourself before requesting a rewrite.
Visit Grammarly ↗Build it in this order
- Ask for one revision with the instruction to preserve every fact, condition and level of certainty.
- Read the original and revision side by side. Underline each number, deadline, negation and promise in both.
- Check the tone separately: shorten unnecessary phrases only after the meaning matches.
Check the result
- No new promise, claim or explanation appears in the revision.
- A condition such as 'if approved' stays attached to the correct action.
- The final message still sounds appropriate for the relationship with its recipient.
If the result fails
If a rewrite is too confident, restore the original qualifier and ask for a smaller edit. For a sentence whose meaning keeps shifting, keep the original and edit its grammar manually instead of repeatedly regenerating the whole message.
Visit QuillBot ↗Time and cost to watch
Count review time as well as rewriting time. For recurring messages, save an approved example and a fact checklist; reviewing a familiar structure is usually easier than evaluating a different style every time.
Tools worth comparing
Use the listed writing tools as candidates for editing and rephrasing the same paragraph. Judge them by preserved meaning and useful explanations, not the number of suggested changes. Check what text your organisation permits you to send to an external service.
