This small project creates one shelf-check form and one review queue for a community pantry. AI can help organise text that a volunteer supplies. It cannot read an unseen package, determine whether food is safe, turn a best-before date into an expiry date, approve a donation or decide what to distribute.
Jotform currently documents a drag-and-drop form builder, file uploads, conditional logic and submission management. Its pricing page separates usage limits, so check the current submission and storage allowances before launch. Jotform · Features · Pricing

Inputs, skills and effort
Prepare shelf zones, item categories, the pantry's written acceptance and rotation policy, an exact label-transcription guide, a quarantine route and authorised reviewer roles. Basic form and spreadsheet skills are enough. Allow 60–90 minutes to build and test a small pilot. Do not collect donor identity unless the real policy requires it.
Copy this starter brief
Design a pantry date-check log with ITEM ID, CATEGORY, LABEL WORDING,
PRINTED DATE, PACKAGE CONDITION OBSERVED, CHECKED AT, CHECKER and ACTION ROUTE.
Use only the supplied pantry policy. Do not interpret food safety, invent a date,
convert best-before to expiry, approve a donation or mark food safe.
Write UNREADABLE LABEL, POLICY REVIEW or QUARANTINE when needed.
Visit Jotform ↗Build the pilot
- Give every package a temporary item ID and shelf zone.
- Copy the manufacturer's label wording and printed date exactly; never fill a blurred character by guesswork.
- Record only visible package condition such as sealed, dented or leaking, without declaring the food safe.
- Use conditional fields to route unreadable labels, damaged packages and policy conflicts to review.
- Require an authorised person to choose the actual rotate, hold, reject or disposal action under the pantry's policy.
- Reconcile the physical shelf with the log after each check and record the checker and time.
Worked fictional sample
Item P-021 is a sealed bag of rice labelled “Best before 31 Oct 2026.” The log preserves that wording instead of calling it an expiry date. A reviewer uses the pantry's real policy to choose the route. Item P-022 has an unreadable date and a torn seam, so the form records those observations and sends it to quarantine; AI does not clear it.
The pilot passes when every row traces to one package, label wording is exact, checker and time are present, unreadable or conflicting cases stay separate, and no generated text makes a food-safety decision.
Recovery and manual fallback
Use a numbered paper sheet with the same fields when the form is unavailable. Photograph or transcribe it later with a second-person check. If policy is missing or staff disagree, isolate the item and contact the authorised food-safety lead instead of asking AI to choose.
Product, feature and pricing pages were inspected on 20 October 2026. No account, form, package, label, pantry policy, food-safety outcome or disposal decision was tested.
