Short answer: Locate one repeated handoff that loses information or creates duplicate work. Decide whether it needs a clearer form, a shared task view, a meeting record or an automation. Buying a broad productivity tool before identifying the gap can add another place to check.

A concrete example

A fictional service team receives requests by email, then copies them into a task list. Requests lose their due dates during the handoff. The first improvement is a consistent record containing requester, task, due date and owner; AI is optional for this part.

This is a suggested exercise, not a recorded product test. It describes the result to aim for; it does not claim that every listed tool can complete every step.

Prepare these inputs

Collect three anonymised or invented examples of the problem. Sketch who receives the work, where it is recorded and who acts next. Mark the field or decision that gets lost.

Build it in this order

  1. Create one agreed request record before changing the software.
  2. Run the sample requests through a small trial and check the receiving person's view.
  3. Only automate or summarise a step after the team agrees what a complete handoff contains.

Check the result

  • The next person can act without asking the original sender to repeat basic information.
  • A changed due date or owner is visible in the shared record.
  • A failed transfer leaves one identifiable pending request rather than two competing copies.

If the result fails

If the trial simply moves the confusion into a new app, repair the record or ownership rule. If the process is rarely used, a shared form and manual handoff may be easier to maintain than an automation.

Time and cost to watch

Include seats, duplicated records, training and time spent checking multiple systems. Estimate the work saved at the actual handoff rather than applying a broad productivity percentage.

Tools worth comparing

Group the listed candidates by the missing job: planning, meeting notes, intake or automation. Compare only a small set that addresses your example. Confirm the required connectors and access rules before moving the team's records.
