This workflow turns a redacted case record into a calm reply. Grammarly can help rewrite, proofread and adjust clarity or tone. It cannot decide fault, approve a refund, interpret policy, make a legal conclusion or confirm that an action happened.

Grammarly currently describes full-paragraph rewrites, proofreading, clarity revisions and tone adjustments. Its plan page separates Free, Pro and organisational offerings, so check current access before relying on a paid feature. Grammarly · Features · Plans

Prepare only verified inputs

Collect the complaint ID, the customer's exact request, the verified timeline, the relevant approved policy excerpt, the case owner, the authorised next step and its deadline. Remove personal data that the writer does not need. Keep the customer's account separate from facts confirmed in records. Allow 30–45 minutes for drafting, fact comparison and approval.

Draft, compare and approve

  1. Put the complaint ID and exact customer request at the top of the working note.
  2. Label each statement as customer-reported, record-verified or still unconfirmed.
  3. Draft one acknowledgement without adding blame or an outcome.
  4. Preserve the authorised next step, owner and deadline exactly while using Grammarly for clarity and tone.
  5. Have a second person compare every factual sentence and commitment with the case record.
  6. Save the approved sent version and the evidence used to approve it.

Worked fictional sample

Case C-104 says the customer reported a late parcel. The only verified carrier record is a scan at 16:20. The approved action is a warehouse review owned by Narin, with an update due by 17 October. A suitable reply acknowledges the concern, says which record was checked, and names the review, owner and deadline. It must not promise a refund, blame the carrier or say the review is complete.

The reply passes when every factual sentence has a source, every commitment is authorised, the owner and deadline are visible, and uncertainty remains explicit. Recheck Grammarly's rewrite before sending because a smoother sentence can still change responsibility or certainty.

Recover when the tool or evidence is unavailable

Use a two-column sheet with verified facts on the left and the proposed reply on the right. Escalate safety, legal, financial or compensation questions to the authorised person. If records conflict, send a short acknowledgement with the next verification step instead of guessing.

Feature and plan pages were inspected on 16 October 2026. No account, complaint, customer, reply, remedy or delivery record was tested.
